Automotive Logistics Manager

Purpose of the Position

• To ensure the timely, safe, and cost-effective organization of transportation for imported vehicles, including those for the company's brands; to fully coordinate daily logistics operations, carrier relations, and the delivery process.

Key Duties and Responsibilities

• Planning: Prepare monthly, weekly, and operational transportation plans based on VIN lists provided by sales teams, priorities, vehicle readiness for loading status, and required stock dates.
• Transportation Management: Allocate transport vehicles considering routes, loading dates, car carrier capacity, trip duration, and sequence; monitor daily plan-vs-actual deviations.
• Carrier Coordination: Organize work with the company's own car carriers and third-party carriers; track loading, departure, border crossing, and handover stages.
• Fleet and Drivers: Coordinate the use of car carriers, driver schedules, and operational readiness within the relevant authority; promptly direct technical and documentation issues to the appropriate departments.
• Risks and Regulation: Proactively check for changes in border, customs, transit, and permit requirements, shifts, and route risks; clarify information with drivers, carriers, and relevant parties; prepare alternative solutions.
• Documentation: Coordinate the accuracy of transport documents, VIN compliance, loading lists, and handover confirmations for international shipments; work with responsible teams for customs clearance.
• Cost and Budget: Plan expected transportation costs per route and trip, carrier rates, and additional charges; explain budget vs. actual cost variances and provide payment forecasts to the finance department.
• Reporting and Escalation: Provide up-to-date information on status, expected delivery dates, reasons for delays, and corrective actions for each VIN and trip; immediately report critical risks to management and relevant commercial teams.
• Improvement: Continuously improve logistics processes through route analysis, backup carrier options, standard operating procedures, and performance indicators.

Authorities and Cooperation

• Request and interact with sales, finance, customs, supply chain, service, and other relevant departments for necessary planning information.
• Issue operational assignments to carriers within the approved budget and authority limits, monitor trip execution, and propose alternatives.
• Submit decisions requiring additional costs, critical delays, or route changes to authorized management for approval.

Candidate Requirements

• Higher education (Logistics, Transportation, Business Administration, or related field).
• At least 3–5 years of practical work experience in international automotive transportation / automotive logistics; experience in managing carrier or fleet operations is preferred.
• Working knowledge of international shipping documents, transit and border procedures, route planning, and transportation costs.
• Strong MS Excel skills; experience with ERP and transport tracking systems is preferred.
• Fluent communication in Azerbaijani; business communication skills in Russian and/or English are preferred.
• Analytical thinking, operational decision-making, high coordination skills, responsibility, and ability to work under stress.

Key Performance Indicators (KPI) – Proposal

• Percentage of vehicles delivered on agreed dates (On-Time Delivery).
• Fulfillment of the monthly logistics plan and number/duration of delays.
• Comparison of actual transportation costs per vehicle and trip with the approved budget.
• Car carrier utilization and efficiency; justification for using third-party carriers.
• Timely and accurate update of VIN and trip status information; timely escalation of critical risks.

Working Conditions and Approval

• Work location: Baku, Azerbaijan.
• Work schedule and need for business trips are determined by the company's internal regulations.
• Salary range, bonus/KPI application, direct reporting lines, subordinates, and final scope of authority are to be agreed upon with management.
