Job description:
The Personal Assistant (PA) to the director will play a pivotal role in supporting the director in their daily administrative and strategic tasks. This individual will be responsible for managing the director’s schedule, coordinating meetings, preparing reports, and assisting with various projects. The PA must be highly organized, discreet, and capable of handling confidential information, while providing comprehensive support to the director in a fast-paced environment.
Job responsibilities:
- Manage the director’s calendar, including scheduling meetings, appointments, and travel arrangements. Ensure optimal time management for the director;
- Handle incoming and outgoing communications on behalf of the director, including phone calls, emails, and post. Serve as a liaison between the director and other departments or external parties;
- Prepare, organize, and maintain documents and reports related to financial data, presentations, and meeting materials;
- Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items;
- Manage and reconcile expenses for the director, ensuring compliance with company policies;
- Handle sensitive and confidential information with discretion and in accordance with data protection regulations.
Requirements:
- At least 1-3 years of experience as a personal assistant, executive assistant, or in a similar role, preferably within a refinery or petrochemical company;
- Exceptional organizational and time-management skills;
- Proficiency in MS Office Suite and familiarity with financial software and ERP systems;
- Strong written and verbal communication skills;
- Ability to handle confidential information with discretion;
- High level of attention to detail and accuracy;
- Excellent interpersonal skills and the ability to work effectively with different levels of management and external stakeholders;
