Procurement Specialist

Reporting to: Head of PSCM

Internal key working relationships (inside company):

  1. Accounting Team
  2. Legal Team
  3. Sales Team
  4. Operations Team
  5. Warehouseman.

External key working relationships (outside company):

  1. External Auditors
  2. Vendors and Suppliers.

Job Purpose:

Procurement Specialist is responsible for searching and selecting suppliers, negotiating purchasing agreements, and purchasing high-quality products and services at the most favourable prices for the interest of company. Procurement Specialist is accountable for ensuring that the company's materials and products meet all specified requirements and standards.

Functional Responsibilities:

  • Prepare proposals, request quotes, and negotiate prices, purchase terms and conditions with suppliers to secure favourable deals and contractual arrangements.
  • Manage daily, monthly, and quarterly reports related to procurement activities, ensuring accurate and timely reporting to stakeholders.
  • Identify suitable suppliers/manufacturers through market research, evaluating their capabilities, reliability, and alignment with company needs.
  • Analyse and evaluate supplier performance, assessing factors such as quality, delivery, and cost, and take necessary actions to address any issues or identify improvement opportunities.
  • Inspect and evaluate the quality of purchased items, conducting necessary quality checks, and resolving any shortcomings or discrepancies.
  • Negotiate and draft contract terms and conditions, ensuring compliance with legal and company requirements, while protecting the interests of the organization.
  • Develop and maintain supplier relationships, fostering collaboration, and communication to ensure smooth procurement operations and leverage potential cost savings and value-added opportunities.
  • Execute any other tasks or projects assigned by the manager related to your respective department.
  • Follow company procedures and disciplinary rules while maintaining ethical standards.
  • Ensure strict compliance with Health, Safety and Environment regulations contributing to a safe and healthy workplace for all team members.

Education and Experiences:

  • Bachelor’s degree in Business Administration or in the related field is required.
  • Intermediate level of both written and spoken English required.
  • 2-3 years of work experience in related areas.
  • Knowledge and understanding of PSCM principles and standards, Supplier Relationship Management, finance, audit, and assurance.
  • Proven communication and interpersonal skills.
