Junior Operations Administrator

Location: Rapid Solutions Main Office (BEGOC Business center)

Position Type: Full-time

Responsibilities:

Operational Responsibilities:

  • Monitoring and updating personnel location log, vacation log, offshore log, training matrix and employee databases
  • Collation of weekly timesheets and jobsheets of all employees, updating ERP system with relevant and accurate information. Matching hours on client jobsheets with internal timesheets. Liaising with timekeeper to resolve any issues
  • Open new jobs in Quickbooks system 
  • Assisting cost controller when required, to check invoices, updating of cost sheets, liaising with accounts department, as necessary, regarding invoicing issues
  • General copying and filing of documentation
  • Preparing purchase requisitions and interfacing with the procurement department (Project Services Division)
  • Preparation of personnel daily attendance list for the E&I division
  • Handle incoming mail, typing letters or internal memos as required
  • Interface between HR and E&I division personnel regarding all training requirements, absence request forms, medical insurance and annual leave.
  • Document control, including preparation and issuing of document transmittals, filing of project related or administration documents; scanning documents
  • Documents translation (Azerbaijani & English)
  • Ordering /distribution of stationary for the division
  • Control and issuing of test equipment, registration and re-calibration of test equipment. Maintain test equipment logs.
  • Administration of Ariba system and events, working closely with other departments to ensure Ariba enquiries are responded to in time.   
  • Assisting the division manager as required to ensure that the division operates effectively and efficiently

Key Requirements:

  • Bachelor's degree in Business Administration, Management or a related field. 
  • 1-2 years of experience in administration or a similar role is beneficial.
  • Proficiency in Azerbaijani and English languages (both written and spoken).
  • Strong knowledge of Microsoft Office (Excel, Word, PowerPoint).
  • Excellent organizational and communication skills.
  • Ability to work effectively in a fast-paced environment.
