Project Coordinator

Job Summary:

We are seeking a highly organized and proactive Project Coordinator to join our dynamic team. The successful candidate will be responsible for overseeing and managing all aspects of production projects from inception to completion, ensuring they are completed on time, within budget, and to the highest quality standards.

Key Responsibilities:

Project Planning and Initiation:

  • Develop comprehensive project plans that outline project scope, goals, deliverables, required resources, budget, and timing.
  • Facilitate project kick-off meetings with key stakeholders to ensure alignment on objectives and expectations.

Team Coordination and Leadership:

  • Lead and coordinate cross-functional teams, including production, engineering, quality assurance, and supply chain, to achieve project objectives.
  • Assign tasks and responsibilities to project team members, ensuring clarity and accountability.

Risk Management and Mitigation:

  • Identify potential project risks, including technical, financial, and schedule-related risks.
  • Develop and implement mitigation strategies to manage and minimize risks effectively.
  • Continuously monitor and reassess risks throughout the project lifecycle.

Effective Communication:

  • Maintain clear and effective communication with all project stakeholders, including senior management, clients, and team members.
  • Prepare and deliver regular project status reports, including progress, risks, and issues, to stakeholders.
  • Facilitate communication between team members and departments to ensure alignment and collaboration.

Project Monitoring and Control:

  • Track project progress against project plans and timelines, ensuring adherence to schedules.
  • Monitor project performance using appropriate systems, tools, and techniques.
  • Implement corrective actions to address deviations from project plans and objectives.

Budget Management and Cost Control:

  • Manage project budgets, track expenses, and ensure cost-effectiveness throughout the project lifecycle.
  • Develop cost estimates and allocate resources efficiently to optimize budget utilization.
  • Approve project expenditures and reconcile budgets periodically.

Quality Assurance and Compliance:

  • Ensure all project activities comply with company policies, industry standards, and customer requirements.
  • Implement quality control processes to verify that project deliverables meet established standards and specifications.
  • Conduct project audits and reviews to ensure compliance and identify areas for improvement.

Problem-Solving and Issue Resolution:

  • Address and resolve issues that arise during the project lifecycle, ensuring minimal disruption to project timelines and objectives.
  • Facilitate problem-solving sessions with team members to identify root causes and develop effective solutions.
  • Escalate critical issues to senior management when necessary, providing recommendations for resolution.

Project Closure and Evaluation:

  • Oversee project closure activities, including final deliverable validation and documentation.
  • Conduct post-project evaluations to identify lessons learned and best practices.
  • Prepare and present project closure reports to stakeholders, highlighting achievements and areas for improvement.

Continuous Improvement:

  • Identify opportunities for process improvements and implement solutions to enhance project outcomes and efficiency.
  • Stay updated on industry trends, best practices, and emerging technologies to drive innovation in project management practices.
  • Promote a culture of continuous improvement within the project team.

Qualifications:

  • Bachelor’s degree in Engineering, Business Administration, or a related field.
  • A minimum of 7 years of experience in project management in one of these fields; oil and gas, construction, production or manufacturing environment. (Experience in production or manufacturing is an advantage)
  • Strong understanding of project management methodologies and tools.
  • Excellent leadership, communication, and interpersonal skills.
  • Proficiency in project management software is an advantage (e.g., Microsoft Project, Primavera)
  • Advanced Microsoft Office Suite user.
  • PMP or similar project management certification is an advantage
  • Ability to work effectively under pressure and meet tight deadlines.
  • Strong problem-solving skills and attention to detail.
