Certification Administrator (8-month temporary contract)

Location: Azerbaijan, Onshore

A vacancy has arisen externally for a Certification Administrator as part of the Onshore Business Unit and is available for Azerbaijani citizens only.

Reporting to the Training and Development Team Leader, the Certification Administrator is responsible for the issuing to personnel the certificates, for records storage and back up.

Key Responsibilities (including but not limited to):

  • Role holders will be responsible for ensuring that certificates are received in time and uploading it into the Training Database.
  • Role holders will be responsible for updating the personnel certification records.
  • Role holders will be expected to receive the candidates’ registration form from the training providers and update the Training Database accordingly.
  • Role holders will be responsible for informing the Training and Development Coordinator/Administrator about any non-attendee.
  • Role holders will be responsible for maintaining the in-house certificates’ registration file and keep the certificate template up to date.
  • Role holders will be responsible for printing the certificates for the provided in-house training.
  • Role holders will be expected to provide a copy of certificates when required.
  • Role holders will be responsible for providing a copy of certificates to Vantage system Administrators.
  • Ensure that all work is carried out following the Company’s Business Management System Procedures and client specific requirements, where appropriate.
  • Ensure that the Training Database reflects up to date information.
  • Ensure that the issued certificates reflect the correct candidate’s, course and company details.
  • Create for newly hired employee the certificate e-folder and updated it accordingly.
  • Allocate the e-folders as per the employee’s project, position.
  • Ensure that all required information is registered at the Occupational Health and Safety test and provided to the Human Resource department.
  • Provide other duties as requested and within their capabilities.
  • Role holders will be responsible for providing the administrative support in organising a training/workshop session.
  • Plan the completion of the candidates’ registration report weekly to meet the payroll deadline.

Key Skills/Qualifications:

  • Excellent knowledge of Microsoft Office
  • High level of verbal and written English
  • High level of verbal and written Azerbaijani
  • Experience in document control, document imaging, document archiving, and maintenance of electronic and physical documents
  • Experience to work individually and as part of a team
  • Good interpersonal, organisational and communication skills
  • Ability to multitask and prioritise
  • Excellent accuracy and attention to details
  • Enthusiasm, self-motivation, and result orientation.
