Personal and Business Assistant

 

Purpose:

Personal and business assistant will perform scheduling meetings and organize events, taking notes, and handling correspondence and provide Company CEO with day-to-day administrative support. Core duties include answering phone calls, making travel arrangements. Working alongside your manager, you will prove invaluable in helping to support the day-to-day running of the business with administrative and secretarial work.

Personal and business assistant Requirements:

  • Bachelor’s degree in business administration, management, or a related field.
  • Previous experience in a similar role is highly desirable.
  • Proven experience as a personal or executive assistant, preferably in both personal and business capacities.
  • Strong organizational and multitasking skills.
  • Excellent communication, presentation, and interpersonal abilities.
  • Proficiency in office software and productivity tools.
  • Ability to work independently with minimal supervision.
  • Discretion and trustworthiness in handling confidential information.
  • Flexibility to adapt to dynamic schedules and last-minute changes.
  • Ability to work collaboratively in a cross-functional team environment.
  • Fluent in Azerbaijani, Russian and English.

Personal and business assistant Responsibilities:

  • Personal Assistance: Managing personal calendars, scheduling appointments, and organizing travel arrangements.
  • Business Support: Assisting in business-related tasks such as organizing meetings, preparing reports, and handling correspondence.
  • Communication Management: Handling phone calls and emails, serving as a point of contact for internal and external parties.
  • Research and Analysis: Conducting research on various topics and preparing analytical reports.
  • Document Management: Creating, editing, and organizing important documents and presentations.
  • Coordination and Planning: Coordinating events and managing logistics for both personal and business activities.
  • Task Prioritization: Efficiently managing and prioritizing a wide range of tasks and responsibilities.

General responsibility:

  • Maintain confidentiality and handle sensitive information with discretion.
  • Prioritize tasks effectively to meet both personal and business deadlines.
  • Adapt quickly to changing priorities and be flexible in managing a variety of responsibilities.
  • Anticipate needs and proactively address them to enhance efficiency.
  • Utilize technology and tools to streamline processes and enhance productivity.
  • Take accurate and comprehensive notes at meetings.
  • Help with daily time management. 
  • Other ad-hoc tasks assigned. 

Terms and Conditions:

  • Location close to the city center.
  • 5/7 working days.
  • 09.00 a.m.-06.00 p.m. working hours (including 1 hour for lunch).
  • Fixed salary.
